Administrative and Marketing Assistant


About us.
We are a 9-year-old ceramics studio that offers classes, workshops, private studios, open studio workspace and custom production work services. We are located in the Whiteaker area of Eugene at the corner of 2nd and Polk Streets.

We are looking for a core employee with the ability and the adaptability to grow with us. The main focus of this position is administrative, assisting owners in managing and developing the business.

Job Description.
The individual we seek will help manage our studio, office and overall operations and assist with marketing efforts. We are looking for an energetic and enthusiastic person with experience working within a small business team.

Compensation: $12-14/hour DOE
Part-time, 16 hrs/week may grow into 20 hrs

The right candidate will possess excellent communication, planning, organizing and tracking skills; will have a friendly and positive attitude; strong problem solving abilities; experience with general accounting tasks and the ability to wear many hats and prioritize.

We seek an individual who has had exposure and is aware of the arts and has an interest in arts business development. The person we are seeking will have a bachelor's degree with 2 years of office management experience and administrative or other relevant experience.

Qualified Applicants will have:
• A background that includes office management, customer service, and marketing
• Experience in business operations
• The ability to communicate effectively both verbally and through written communication
• Good customer service and phone skills
• Good computer skills
• Experience with Mac system based office equipment
• Proficiency with Word and Excel; some familiarity with Quickbooks
• The ability to prioritize project tasks and manage time efficiently
• The ability to multi-task and respond in an occasionally fast-paced office; stay on task and answer and respond to students and members
• Ease in updating social media platforms?• Excellent problem solving skills
• The ability to work under the pressure of deadlines
• Good manual dexterity
• The ability to bend, reach and lift 30 lbs comfortably
• Ease with being on their feet, traversing distances within the studio at a moment's notice?

Job Responsibilities.

• Studio and Office Administration: manage office environs, sign-up processes, maintain files, systems, data entry, cashiering, serve as studio manager, assist with special activities, store sales and events, train and monitor volunteers
• Marketing: greet and assist visitors, develop and implement plans with owners, develop opportunities, make phone calls, track efforts, post to Facebook and Instagram, assist in content development for emails, newsletters, website

Hours.
This is a part-time job, starting at 16 hours/week and may grow to 20 plus hours in the future. Work hours will include several opening studio shifts each week, Monday through Friday, to be scheduled, with occasional work hours on weekends or evenings.

Hourly wage
$12-14 DOE

Job Responsibilities.
The main focus of this position is administrative, assisting owners in managing and developing the business.
A sampling of activities involved includes:

• Studio/Office Administration
Answering phones, emails
Maintaining systems, keeping office clean & organized, streamlining & refining procedures
Maintaining filing, forms, calendars, operations manuals
Serving as a primary studio/staff contact for visitors and members
Following policy and procedure descriptions
Managing membership sign-up process
Cashiering -- receiving payments, recording transactions, issuing receipts
Managing store agreements, consignments, payments, assisting with merchandising
Training volunteers for tasks, tracking project status, scheduling shifts

• Education Program
Coordinating between owners, instructors, students, organizing class schedules     
Assisting with enrollment efforts
Maintain records & documentation related to programs
Tracking interest, opportunities and follow up as needed

• Marketing
Greeting and assisting visitors
Developing new opportunities and implementing plans in concert with owners
Monitoring and updating Facebook and Instagram    
Representing Clay Space in the community as requested

• Special events (e.g. holiday sale, garage sale, parties)
Working with owners to understand timing, options, requirements and pricing
Coordinating event development as requested

• Miscellaneous
Fielding a wide variety of tasks, documenting tasks, making sure they get accomplished
Attending operations meetings
Coordinate schedules and priorities with owners
Make suggestions/writing content for newsletter and website content
Contributing to efforts to build classes and membership, studio use and production     services
Having an awareness of the community within which we do business and engaging in activities that help boost our bottom line
Being a self-starter — working well without direct supervision

Physical Requirements.
Have good manual dexterity.
Be able to bend, reach and lift 30 lbs comfortably.
Being at ease with being on your feet, traversing distance between store and office at a moments notice
